Replacement of Old Office Chairs

Admin October 12, 2026

There are three main ways to replace old office chairs, which can be selected based on the chair's condition, budget, and needs:

1. Refurbishment for Reuse If the chair itself is structurally sound but only has localized aging issues (such as a collapsed cushion, worn armrests, or damaged casters), refurbishment is a cost-effective option. The refurbishment cost is approximately 30%-45% of that of a new chair of the same model, with a project duration of 3-5 working days. The specific cost is influenced by the chair type and refurbishment items:

  • Basic Refurbishment: Replacing the fabric on a regular four-legged office chair is relatively inexpensive. However, for multi-functional ergonomic chairs with complex structures (such as many adjustable parts), the quote may be about 30% higher.
  • Material Selection: Fabric prices vary greatly, ranging from tens of yuan to over a hundred yuan per meter, depending on the requirements for durability and breathability. If, during the removal of the old fabric, it is found that the sponge has collapsed or the springs are broken, additional replacement costs will be incurred.
  • Labor Costs: Installing new fabric on a complex chair may require 2-3 hours of labor. Quotes in Huangpu District usually include the comprehensive cost of fabric, labor, and additional services (such as hardware reinforcement).

2. Formal Recycling and Circulation This approach aligns with the national sustainable development policy and is particularly suitable for government agencies or enterprises handling old chairs in bulk. The "Technical Specification for Furniture Recycling" (GB/T 46488-2025), implemented on May 1, 2025, explicitly requires office furniture to be "repaired and reused to the fullest extent possible." Old chairs will be classified and disassembled, with reusable components (such as metal frames and plastic parts) processed and reintroduced into the production chain, reducing resource waste. This method is highly environmentally friendly, but individual users may need to contact professional recycling agencies, and the process is more complex than refurbishment or second-hand transactions.

3. Direct Purchase of Branded Second-Hand Chairs If the chair is severely aged overall (such as when the price of the entire chair is close to that of a second-hand branded chair) or if a quick replacement is needed, purchasing a second-hand chair is a more convenient option. Branded second-hand chairs are priced at approximately 2-3 fold of new products, are fully functional, and have undergone cleaning, disinfection, and quality inspection, making them ready for immediate use. Japanese research shows that the lifespan of an entire chair is about 10 years, with the seat cushion sponge aging first after 5-6 years. Therefore, a chair with a collapsed cushion or damaged mesh fabric may only need the cushion or mesh replaced. However, if the price of the entire chair is already close to that of a second-hand branded chair, it is more cost-effective to directly purchase a new one. In addition, branded second-hand chairs offer durability guarantees, with well-maintained chairs lasting for seven or eight years without issues.

Selection Recommendations:

  • Localized damage and limited budget โ†’ Refurbishment;
  • Pursuing environmental protection or bulk handling โ†’ Formal recycling;
  • Needing a quick replacement or pursuing cost-effectiveness โ†’ Branded second-hand chairs.
