How to Assemble Office Chair Step by Step

Admin October 24, 2026

Assembling an office chair can be done following these steps:

I. Create a Visual Reference Before unpacking, download high-definition product images from the brand's official website or take detailed photos of the same chair model in a physical store (such as the base and armrest connections). This step helps quickly identify the positions of parts, avoiding repeated disassembly and reassembly due to unfamiliarity with the structure during assembly. For example, some chairs have specific angle requirements for the connection between the gas lift and the five-star base; observing in advance can reduce incorrect operations.

II. Check the Completeness of Parts

  1. Thoroughly unpack the package and categorize all parts (such as the five-star base, gas lift, seat cushion, backrest, armrests, screw pack, etc.) on a clean floor, removing all plastic protective covers and foam fillers.
  2. Check each part against the parts list in the instruction manual, focusing on inspecting the gas lift (for air leaks), wheels (for sticking), and screws (for missing parts or stripped threads). If any parts are found to be damaged (such as dents on the gas lift surface or wheels that do not rotate), contact the seller immediately for replacement. Do not assemble with defective parts.

III. Prepare Tools Most office chairs only require a 4mm or 5mm L-shaped Allen wrench (usually included with the chair), but it is recommended to prepare additionally:

  • A Phillips screwdriver (for securing Phillips screws on the armrests or headrest);
  • A rubber mallet (for gently tapping snaps or wheels to avoid scratching the surface);
  • Lubricant (if the wheels do not rotate smoothly, a small amount can be sprayed on the bearings). Clean the tools in advance to avoid oil stains contaminating the parts.

IV. Assemble by Module

  1. Install the Five-Star Base and Wheels: Align the five universal wheels with the slots on the five-star base and press firmly until you hear a 'click' sound, ensuring the wheels are fully embedded.
  2. Connect the Gas Lift to the Five-Star Base: Insert the gas lift (with the narrow end facing up) vertically into the center hole of the five-star base and press lightly until it touches the bottom. Ensure the gas lift remains upright; tilting may cause air leaks.
  3. Secure the Seat Cushion and Backrest: According to the instruction manual, align the backrest bracket with the pre-embedded screw holes on the bottom of the seat cushion using an Allen wrench and tighten the screws in stages (first by hand, then with a tool). Avoid tightening all screws at once; tighten them alternately to maintain balance.
  4. Install the Armrests: If the armrests are height-adjustable, set them to the lowest position first, then secure them to both sides of the seat cushion with screws. The gap between the armrests and the seat cushion should be โ‰ค2mm; otherwise, adjust the tightness of the screws.
  5. Final Adjustment: Sit on the chair and test whether the gas lift raises and lowers, the backrest tilts, and the wheels rotate smoothly. If any unusual noises or sticking are found, recheck whether the screws in the corresponding areas are tightened.

V. Safety and Maintenance

  1. Before First Use: Ensure all screws are tightened, especially the connection between the gas lift and the seat cushion (this part bears the weight of the person; loosening may cause tipping).
  2. Regular Inspection: Retighten all screws with an Allen wrench every three months to prevent loosening from long-term use.
  3. Avoid Overloading: The gas lift of an office chair is usually designed to bear a weight of 100-120kg; overloading may pose a risk of the gas lift exploding.
