How to Move Office Chairs

Admin October 17, 2026

The core operation for moving an office chair forward or backward is achieved by adjusting the pneumatic rod buckle or the slide rail unlocking mechanism at the bottom of the chair body, with specific methods varying depending on the type of chair.

Regular Ergonomic Office Chairs (with Pneumatic Rods or Slide Rails)
The adjustment mechanism for these chairs is concentrated beneath the seat. The operating steps are as follows:

  1. Locate the Adjustment Mechanism: Stand to the side of the chair, bend over, and observe the connection point between the chair legs and the seat to find a circular wrench or lever (usually made of metal with a non-slip texture on the surface). Some chairs may have a hidden adjustment mechanism that requires a gentle push on the seat or pressing a specific area to expose it.
  2. Unlock the Position: Press and hold the wrench or lever with your fingers (some may require pressing with the palm of your hand) to keep it pressed. At this point, the locking mechanism of the pneumatic rod or slide rail at the bottom of the chair will release, allowing the chair body to move freely.
  3. Adjust the Position: Slowly push the chair forward or backward along the ground to adjust it to the desired sitting distance. Pay attention to maintaining your balance while pushing to avoid losing control of the chair due to excessive force.
  4. Lock the Position: Release the wrench or lever, and the pneumatic rod or slide rail will automatically lock the current position. Some chairs may require a slight shake of the chair body to ensure a firm lock.

Five-Star Base Models with Casters
These chairs are easier to adjust due to the universal wheels at the bottom, but note the following:

  • Before pushing, check if the wheels are flexible and clear the ground of debris (such as wires and paper scraps) to avoid jamming or scratching.
  • Push at a constant speed to avoid sudden stops or starts that could cause the chair to tip over or collide with surrounding equipment (such as desks or file cabinets).

Old-Fashioned Fixed-Leg Office Chairs
A few old-fashioned chairs have fixed legs and require screw adjustments for position changes:

  1. Check the Manual: Confirm whether the chair structure supports position adjustment (some old-fashioned chairs are fixed and cannot be moved).
  2. Loosen the Screws: Use a wrench or screwdriver to loosen the fixing screws beneath the chair legs (usually 4-6 screws), and be sure to keep the screws to prevent loss.
  3. Adjust the Position: Manually move the chair to the target position, ensuring that the chair legs make stable contact with the ground.
  4. Tighten the Screws: Retighten all the screws and test the stability of the chair to avoid wobbling or tipping due to loose screws.

Precautions

  • Ensure there is sufficient space around the chair before adjusting to avoid collisions or squeezing.
  • Avoid using excessive force during operation to prevent damage to the adjustment mechanism or the chair from tipping over.
  • If the chair has not been used for a long time, apply a small amount of lubricant (such as WD-40) to the connection points of the pneumatic rod or slide rail before adjusting to ensure smooth operation.
