Office Chair Sponge Refurbishment

Admin October 11, 2026

Office chair sponge refurbishment can be completed in four steps: tool preparation, disassembly, installation of new sponge, and reassembly, with attention to operational safety and detail handling.

I. Tool and Material Preparation Tools required include an Allen wrench, screwdrivers (cross-head and flat-head), a wrench or socket set, pliers (combination pliers and needle-nose pliers), and a rubber mallet. Materials include new sponge, upholstery materials (such as microfiber leather, PU leather, genuine leather, or linen), strong double-sided tape or hot melt glue, and a staple gun or hand-sewing needle and thread. The new sponge should be selected based on body weight in terms of density and thickness: a density of 25-35KG/Mยณ or higher, with 6-8cm for individuals under 50kg, 8-10cm for those between 50-75kg, and 10-12cm for those over 75kg. The upholstery material should have an allowance, with the seat and backrest areas multiplied by 1.3 times. For home use, microfiber leather is recommended (linen can be chosen for breathability).

II. Disassembly of Old Sponge and Structure

  1. Safe Inversion and Base Separation: Invert the chair onto a soft pad and use an Allen wrench to unscrew the fixing screws connecting the seat cushion and base, separating the two.
  2. Disassembly of Seat Cushion Shell: Observe the edge of the seat cushion and use a screwdriver to remove the screws fixing the U-shaped iron bar or plastic baffle. For some models, the large screw below the backrest adjustment lever may need to be removed first.
  3. Removal of Old Sponge: After opening the seat cushion shell, carefully remove the collapsed old sponge. If the sponge is severely aged (e.g., crumbling or deformed), it should be replaced together.

III. Installation of New Sponge and Refurbishment

  1. Cutting and Fixing of New Sponge: Cut the new sponge according to the dimensions of the old one, ensuring it fits snugly against the frame. Use hot melt glue to fix the new sponge onto the chair frame and wait for the glue to dry completely.
  2. Upholstery Application (if needed): Align the cut new upholstery material in position and pull it flat from the center to the edges. Use a staple gun to staple every 2-3 centimeters on the back of the frame, starting with the midpoint of the long side and then the opposite corner. For corners, fold the upholstery material into pleats or make small cuts before stapling. For chairs with curved backrests, pull the fabric tight while stapling.
  3. Edge Finishing: Use staples to finish the edges of the seat surface and the bottom of the backrest. Exposed staple heads can be covered with matching leather patches. Check for protruding staples to avoid skin scratches.

IV. Reassembly and Inspection

  1. Installation of Chair Legs and Backrest: Reassemble the treated seat cushion with the base, ensuring all screws are tightened to prevent looseness.
  2. Inspection of Comfort and Safety: Test for a flat sitting feel and check the firmness of staples or seams. If the chair has a metal tube structure, use self-tapping screws to fix the upholstery material and add a layer of soft padding for transition.

Precautions: Ensure the chair's gas lift is at its lowest position or completely deflated before operation. The stretching force of the upholstery material should be even, with a palm press providing elasticity without tightness. If the chair structure is complex, it is recommended to take photos to record the disassembly steps for easy reassembly.
