Office Chair Backrest Replacement

Admin October 17, 2026

Replacing the backrest of an office chair requires following standardized steps. The core process includes pre-preparation, removing the old backrest, installing the new backrest, and precautions, as detailed below:

I. Pre-preparation

  1. Tool Preparation: Select tools based on the chair's structure. For screw-fixed chairs, use a Phillips/flathead screwdriver and a wrench (open-end or adjustable). For snap-fixed chairs, a plastic pry bar is needed for disassembly. If components need to be struck, prepare a rubber mallet or a regular hammer (with a soft cloth underneath for protection).
  2. Fabric Selection: If replacing the backrest fabric, consider both functionality and aesthetics. Breathable mesh fabric is suitable for ergonomic chairs used for long periods, reducing heat buildup. Leather (faux or genuine) offers a premium look and is easy to clean, ideal for office settings. Linen or velvet fabrics are soft to the touch but require attention to stain prevention.
  3. Safety Preparation: If the chair has electric adjustment features, unplug it first. Clear the work area and lay down a soft cloth or cardboard to protect the floor. Store small parts like screws and snaps in an organized manner in a small box to prevent loss or confusion.

II. Removing the Old Backrest

  1. Observe the Structure: Turn the chair upside down on a soft pad and inspect how the backrest is attached to the seat. Common attachment methods include screw fixation (at the bottom or sides) or snap fixation (on the sides or bottom).
  2. Screw-Fixed Removal:
    • Remove decorative covers (if any) and use a Phillips screwdriver to loosen all fixing screws sequentially without fully removing them.
    • Once the screws are loose, hold both sides of the backrest and lift it vertically away from the seat.
  3. Snap-Fixed Removal:
    • Locate the plastic snaps (some may require pressing white buttons on the sides). Hold the snap with one hand and gently lift the backrest with the other.
    • A clicking sound indicates separation. If lifting is difficult, check for hidden snaps. Do not use excessive force to prevent snap breakage.

III. Installing the New Backrest

  1. Install the Main Body: Follow the reverse steps of removal. Align the new backrest with the seat and secure it with screws or snaps, ensuring a tight connection without wobbling.
  2. Secure the Fabric (if needed): If replacing the backrest fabric, lay it flat over the backrest frame and secure the edges with screws or snaps, avoiding wrinkles or looseness.

IV. Precautions

  1. Part Management: Store screws and snaps separately during disassembly and mark their positions for easy reassembly.
  2. Safety Protection: Keep children away during operation to prevent ingestion or cuts from small parts.
  3. Looseness Handling: If the backrest is loose due to loose screws, tighten them with a screwdriver or wrench. If screws are damaged, replace them with the same type and add a spring washer for security. If plastic or metal parts are aged or broken, replace the corresponding components.
  4. Reassembly Check: After installation, test the backrest adjustment functions (such as tilt and height adjustment) to ensure no abnormal noises or jamming.
