Office Chair Backrest Replacement

Admin October 11, 2026

Office chairs can have their backrests replaced. When the backrest is damaged, deformed, or no longer meets personal usage needs, replacing the backrest is an effective way to refurbish the chair, but attention should be paid to size compatibility and operational specifications.

I. Preparation Before Replacement

  1. Measure Dimensions: Accurately measure the length, width, and thickness of the original backrest to ensure the new backrest matches the chair's structure and avoid installation failure or discomfort due to size mismatches.
  2. Tools and Materials: Prepare tools and materials based on the chair's structure, including screwdrivers (Phillips/flat-head), wrenches (open-end or adjustable), plastic pry bars, rubber mallets, staple removers (if removing staples/U-nails), new backrest fabric or leather material, as well as glue, staplers, or U-nail guns (if re-fixing the fabric).
  3. Environment and Safety: Clear a spacious and flat work area, and lay down soft cloth or cardboard to protect the floor; if the chair has electric adjustment functions, be sure to unplug the power source; place disassembled screws, clips, and other small parts in a small box in order to avoid loss.

II. Removing the Old Backrest

  1. Screw Fixation: Use an appropriate screwdriver to turn counterclockwise and remove all fixing screws, then slowly separate the backrest while holding it steady with both hands.
  2. Clip Fixation: Use a plastic pry bar to pry open the clips one by one from the gaps, acting gently to avoid breakage; if the clips are too tight, use a rubber mallet to lightly tap the connection points to assist in loosening.
  3. Staple/U-nail Fixation: Use a staple remover to pull out the staples fixing the old fabric, carefully remove the old fabric, and avoid damaging the backrest foam and base plate.

III. Installing the New Backrest

  1. Fabric Backrest: Cover the foam with the new fabric, starting from the middle for fixation (using glue or a stapler/U-nail gun), spreading out to both sides and adjusting for flatness to avoid wrinkles; trim excess edges after fixation.
  2. Leather Backrest: The operation is similar to that of fabric, but more attention should be paid to flatness to avoid affecting aesthetics; trim the edges after fixation to ensure they fit neatly against the base plate; finally, reinstall the backrest onto the chair body, tighten the screws, and confirm the installation is secure.

IV. Precautions

  1. Spare Part Selection: Prioritize using original or same-brand spare parts to ensure compatibility.
  2. Operational Risks: If not skilled in repairs, it is recommended to contact a professional to avoid damaging the chair or causing safety hazards.
