Office Chair Account Classification

Admin October 13, 2026

The account classification of office chairs should be based on their value, service life, and corporate accounting policies, primarily divided into three categories: administrative expenses, low-value consumables, and fixed assets. The specific classification criteria and accounting treatments are as follows:

1. Administrative Expenses - Office Expenses
If the unit price of an office chair is relatively low (e.g., below 500 yuan per piece or between 200-300 yuan), and its service life is less than one year, or although it has been used for several years, its value is too low to have a significant impact on profits, it can be directly recorded as administrative expenses. For example: ordinary office chairs priced between 100-300 yuan and office chairs used temporarily (e.g., for one-time exhibition stands). The accounting treatment is as follows:

Debit: Administrative Expenses - Office Expenses
Credit: Bank Deposits/Accounts Payable

This classification applies to low-value, short-term consumable office chairs, emphasizing the direct matching of expenses with current income.

2. Low-Value Consumables
If the unit price of an office chair falls between the lower limit set by the enterprise (e.g., 500 yuan) and the fixed asset standard (usually 2,000 yuan or 5,000 yuan), and its service life exceeds one year, it can be classified as low-value consumables. In practice, attention should be paid to:

  • Amortization Method: The one-off write-off method (recording the full amount as an expense upon purchase) or the five-five amortization method (writing off 50% upon purchase and the remaining 50% upon disposal) can be adopted.
  • Accounting Treatment Example (One-Off Write-Off Method):
    Upon Purchase:
Debit: Low-Value Consumables - Office Chairs
    Credit: Bank Deposits
    Upon Amortization:
Debit: Administrative Expenses - Office Expenses
Credit: Low-Value Consumables - Office Chairs

This classification applies to office chairs of medium value and relatively long service cycles, smoothing out expense expenditures through amortization.

3. Fixed Assets - Office Furniture
If the unit price of an office chair is โ‰ฅ2,000 yuan (or 5,000 yuan set by the enterprise) and its service life exceeds one year, it should be recorded as a fixed asset. Special cases include:

  • Bulk Purchases: Complete sets of office chairs that meet the total value requirement but do not meet the unit price requirement can be confirmed as fixed assets as a whole.
  • Customized Furniture: Customized reception desks with almost no residual value after disposal may need to be recorded as long-term prepaid expenses, but in most cases, they are still treated as fixed assets.
    Accounting Treatment Example:
Initial Measurement:
Debit: Fixed Assets - Office Furniture
Credit: VAT Payable - Input VAT
Credit: Bank Deposits
Depreciation Treatment (Straight-line method starting from the following month):
Debit: Administrative Expenses - Depreciation Expenses
Credit: Accumulated Depreciation

This classification applies to high-value, long-term used office chairs, requiring cost allocation through depreciation.

Notes:

  • Enterprises should formulate a 'Fixed Asset Management Measures' to clarify standards, such as setting a 'Simple Fixed Asset' category for assets priced between 2,000-5,000 yuan and adopting accelerated depreciation policies.
  • Tax treatment should distinguish between VAT input tax credit rules and the tax law's allowance for one-time pre-tax deduction of fixed assets below 5 million yuan (accounting still requires periodic depreciation).
  • In practice, some enterprises may include assets priced above 3,000 yuan in fixed asset management to streamline processes, requiring adjustments to classification standards based on enterprise size.
