How to Inspect Office Chairs
Inspecting office chairs requires a comprehensive examination of appearance, dimensions and specifications, structural stability, material and workmanship, functionality and operation, safety, and labeling and packaging:

1. Appearance Inspection
Verify that the overall color matches the order. Patterns, whether printed or embroidered, should be clear and properly aligned. Surface finishes (such as painting, electroplating, or fabric covering) should be uniform, without issues like runs, blisters, or color variations. Pay special attention to visible scratches, cracks, dents, as well as fabric threads, tears, or stains. Metal components should be checked for adequate rust protection, and plastic parts should be free of deformation or burrs.
2. Dimensions and Specifications Inspection
Use professional measuring tools to check key dimensions such as seat height, seat width, seat depth, back height, armrest height, and spacing between armrests, ensuring they meet the tolerance range specified in the order or design drawings (usually ยฑ2-5mm). Verify that the overall proportions of the chair are harmonious, for example, whether the angle between the backrest and seat surface conforms to ergonomic standards (95ยฐ-105ยฐ). Check that the travel range of adjustable components (such as gas lifts, headrests, and armrests) meets the required standards.
3. Structural and Stability Inspection
- Frame Strength: Visually inspect or tap the frame material (metal, solid wood, or engineered plastic) for cracks, decay, or significant deformation.
- Connection Fastness: Ensure that screws, rivets, and welds are secure without looseness, that metal parts are free of rust, and that plastic connectors are not brittle.
- Stability Test: Apply vertical pressure to the seat (simulating a load of over 100kg) and observe for any wobbling or unusual noises. When testing the tilt function, check that the locking mechanism is reliable and that the rebound is smooth. For swivel chairs, verify the flexibility of the base rotation and the effectiveness of the braking mechanism.
4. Material and Workmanship Inspection
- Material Compliance: Confirm that the frame material (steel, aluminum, solid wood) meets the order requirements, that the filling material (foam, memory foam) has the specified density and good rebound properties, that the fabric material (mesh, leather, PVC) matches the order, and that there are no unpleasant odors or excessive levels of harmful substances (an environmental protection test report can be requested).
- Workmanship Details: The sewing should have even stitches without skipped stitches, and seams should be flat without wrinkles. Plastic parts should have smooth injection-molded edges, and metal parts should have chamfered edges. For mesh chairs, check that the tension is uniform without sagging or tears.
5. Functionality and Operation Inspection
Test the smoothness and locking reliability of adjustable components such as gas lifts, armrests, headrests, and lumbar supports. For swivel chairs, verify that there is no jamming or unusual noise during rotation and that the braking mechanism responds quickly. Simulate actual usage scenarios by placing a heavy object (over 120kg) on the seat for 1 hour and check for any deformation or damage to the structure. For special functions (such as massage or heating), verify the safety of the electrical circuit and that the function starts normally.
6. Safety Inspection
- Physical Safety: All edges should be rounded or blunted. Small parts (such as screws and decorative caps) should be securely attached without the risk of falling off. Gas lifts should be certified by organizations such as BIFMA or SGS.
- Chemical Safety: Materials should comply with environmental standards such as REACH and RoHS, without excessive levels of harmful substances like formaldehyde and benzene.
- Fire Resistance: For chairs used in public places, check that the fabric has passed flame-retardant tests (such as the CAL TB 117 standard).
7. Labeling and Packaging Inspection
Verify that the product labeling is complete, including information such as brand, model, production date, and safety certifications.
