How to Account for Office Chairs
Admin October 11, 2026
The accounting method for office chairs should be determined based on their value, service life, and procurement scenario, as detailed below:

1. Classified as Fixed Assets (Unit value exceeds 2,000 yuan and service life exceeds 1 year)
If the unit price of an office chair exceeds 2,000 yuan and its expected service life exceeds 1 year, it should be recorded under the 'Fixed Assets' category, with monthly depreciation calculated accordingly.
- Journal Entry for Recording: Upon purchase, debit 'Fixed Assets (office desks, office chairs, etc.)' and credit 'Bank Deposit'; the tax amount on the value-added tax special invoice is recorded under 'Taxes Payable - Value-Added Tax Payable - Input Tax Amount'.
- Depreciation Calculation: The expected service life and residual value rate must be specified. For example, if the administrative department purchases office furniture totaling 9,000 yuan with an expected service life of 4 years and a residual value of 200 yuan, the monthly depreciation amount is (9,000 - 200) รท (4 ร 12) โ 183.33 yuan. If a customized office chair for executives costs 7,000 yuan (unit price exceeds 5,000 yuan) and a 13% VAT special invoice is obtained, the recorded fixed asset amount is 7,000 รท (1 + 13%) โ 6,194.69 yuan, with an input tax amount of 805.31 yuan; calculated over 5 years of depreciation with a 5% residual value rate, the monthly depreciation is approximately (6,194.69 ร 95%) รท (5 ร 12) โ 98 yuan.
2. Treated as Low-Value Consumables (Unit value below 2,000 yuan)
If the unit price of an office chair is below 2,000 yuan, it is typically treated as a low-value consumable, using the 50% depreciation method:
- Upon Purchase: Debit 'Low-Value Consumables' and credit 'Monetary Funds'.
- Upon Issuance: Depreciate half of the cost, with the remaining portion depreciated upon disposal. If the amount is minimal (e.g., a few hundred yuan), it can be directly recorded under 'Administrative Expenses - Office Expenses', with the journal entry debiting 'Administrative Expenses' and crediting 'Cash'. For example, a standard employee chair priced at 800 yuan per unit, totaling 2,400 yuan, with an ordinary invoice obtained, can be directly recorded under administrative expenses.
3. Special Scenario Handling
- Bulk Purchase of Low-Value Items: If low-value items are purchased in bulk but the total cost is high (e.g., 28 chairs at 400 yuan each), it may be considered tax evasion through splitting. It is recommended to uniformly record them as fixed assets.
- Temporary Office on Construction Sites: Desks and chairs in temporary offices on construction sites should be recorded under the 'Construction Works' category, not administrative expenses.
- Startup Expenses: Expenses for desks and chairs during the startup period should be recorded under 'Startup Expenses' and handled under regular categories after the operational period begins.
Precautions: Ensure compliant vouchers (such as value-added tax special invoices) are obtained during accounting, and refer to Ministry of Finance standards and internal corporate control systems to avoid subjective judgments.
