Accounting Subject Selection for Office Chairs

Admin October 08, 2026

The selection of accounting subjects for a company's purchase of office chairs requires a comprehensive assessment based on value, useful life, and the company's accounting policies. Typically, it involves three subjects: administrative expenses, low-value consumables, and fixed assets. The specific handling methods are as follows:

Directly Recorded as Administrative Expenses

If the cost of office chairs is relatively low (e.g., the unit price or the total purchase amount for a single batch is small), and the company's accounting policies do not require capitalization, they can be directly recorded under the 'Administrative Expenses - Office Expenses' subject. This method is suitable for small, sporadic purchases, such as ordinary office chairs costing a few hundred yuan each. The core rationale is that the expense amount is small, having a limited impact on financial statements, and thus does not require cost allocation through capitalization. In accounting treatment, the expense is fully recorded in the income statement in the period of purchase, without subsequent amortization or depreciation, making the operation simple and in line with the principle of materiality.

Recorded as Low-Value Consumables

Office chairs can be classified as low-value consumables if they meet the following conditions:

  • Cost Criteria: The unit price or total price for a single batch is within the company's specified limit (usually below 2,000 yuan).
  • Useful Life: The expected useful life does not exceed one year.
  • Accounting Treatment: The one-off amortization method or the half-in-half-out amortization method can be used. For example, if 10 sets of conference chairs are purchased at a unit price of 1,500 yuan, totaling 15,000 yuan, and the company chooses to amortize the cost over 12 months, then 1,250 yuan (15,000 รท 12) will be recorded as administrative expenses each month. This method is suitable for items with moderate costs, short usage cycles, and the need for cost allocation, accurately reflecting expense consumption while avoiding profit fluctuations caused by one-time recording in the income statement.

Recorded as Fixed Assets

Office chairs should be recorded under the fixed assets subject if they meet the following conditions:

  • Cost Criteria: The unit price exceeds the company's set capitalization threshold (most companies use 2,000 yuan as the boundary).
  • Useful Life: The expected useful life exceeds one year.
  • Subsequent Measurement: Depreciation is calculated monthly (e.g., using the straight-line method). For example, if a solid wood office desk costing 5,000 yuan is purchased and depreciated over five years with a residual value rate of 5%, the monthly depreciation amount is approximately 79 yuan (5,000 ร— 95% รท 60 months). This method is suitable for high-value, long-term used assets, allocating costs through depreciation, which is more in line with the accrual basis principle.

Notes:

  • Companies need to formulate capitalization standards in accordance with the 'Accounting Standards for Business Enterprises' and clarify them in their accounting policies.
  • The tax treatment of fixed assets may differ from accounting treatment (e.g., the minimum depreciation period specified by tax laws), but this does not affect the choice of accounting subjects.
  • When purchasing multiple sets of desks and chairs in a single batch, if the total price exceeds the standard, they may need to be recorded as fixed assets as a whole, even if the unit price is low.
