Reclining Office Chair Repair

Admin October 09, 2026

Repairing a reclining office chair requires targeted measures based on the specific cause. Below are common issues and their solutions:

1. Wheel or Caster Issues

If the chair tilts in one direction, it may be due to a bent, deformed, or damaged caster causing uneven contact with the ground. Solutions:

  1. Replace the wheels: Preferably replace the entire set (replacing a single caster is more difficult). Contact the manufacturer for the model number to order, or take the old wheels to an office supplies store for matching.
  2. Remove the old wheels: Pull them out directly or use a flat-head screwdriver to pry between the wheel and the base. If the wheels are secured with screws, use a screwdriver to loosen them.
  3. Install new wheels: Apply spray lubricant (such as WD-40) or petroleum jelly to the chair base socket, then gently tap the wheel stem with a rubber mallet until fully inserted.
  4. Test the effect: Invert the chair and sit on it. If it rolls smoothly, the repair is successful; if it still tilts, further inspect the seat plate.

2. Reclining Mechanism or Component Looseness/Damage

If the chair tilts forward or cannot maintain balance, the reclining adjustment mechanism (located under the chair or at the connection between the seat cushion and backrest) may be loose or damaged. Solutions:

  1. Adjust the reclining mechanism: Rotate or slide the relevant components according to the chair model to restore the correct reclining angle.
  2. Tighten connecting components: Check if the connecting screws and support rods are loose, and tighten them with tools; if components are damaged (such as a broken spring or cracked plastic part), replace the parts.
  3. Refer to the user manual: Different brands of chairs may have different adjustment methods. It is recommended to consult the manual or contact the manufacturer for specific guidance to avoid further damage from improper operation.

3. Seat Plate Damage

If both the wheels and reclining mechanism are functioning properly, inspect the seat plate (the square metal plate at the bottom of the seat) for damage. Solutions:

  1. Inspect by laying the chair on its side: Observe if there are any cracks, deformations, or loose welds at the connection between the seat plate and the column.
  2. Professional repair: If the seat plate is severely damaged, it is recommended to contact a professional repair technician for replacement to avoid structural instability from self-disassembly.

4. Other Considerations

  1. Ground flatness: Ensure the chair is placed on a flat surface to avoid tilting due to uneven ground.
  2. Safety inspection: If the chair tilts accompanied by abnormal noises, looseness, or backrest breakage, there may be safety hazards. It is recommended to stop using it and contact the manufacturer for inspection.
  3. Regular maintenance: Regularly inspect the wheels, screws, and reclining mechanism, and tighten loose components promptly to extend the chair's service life.
