Office Chair Write-off

Admin October 11, 2026

The write-off of office chairs requires a comprehensive assessment based on equipment condition, service life, and policy requirements. The specific process and conditions are as follows:

I. Write-off Time Limit Standards
According to the 'Configuration Standards for General Office Equipment and Furniture in Central Administrative Units', the minimum service life of office chairs is 15 years. If the equipment is damaged beyond repair, poses safety hazards, or is technologically outdated and cannot meet business needs, it may be written off in advance. For example, the Corporate Income Tax Law stipulates a depreciation period of 3 years for electronic equipment, but office chairs, as furniture assets, must adhere to a longer service life requirement. In practice, if the minimum service life (e.g., 10 years) has not been reached, priority should be given to repair; if the service life has been reached and the write-off conditions are met, a write-off application may be submitted.

II. Write-off Process

  1. Confirm Asset Attributes: Log in to the unit's fixed asset management platform or check the ledger to confirm whether the chair is registered and has a unique identification number. If the value is less than 1,000 yuan and not purchased in bulk, it may be classified as a low-value consumable and handled according to the unit's internal regulations.
  2. Submit a Repair Request: Describe the fault condition (e.g., 'the pneumatic rod cannot be raised or lowered') through the internal OA system or a paper application form, note the asset identification number, and attach photos of the damaged parts.
  3. Professional Appraisal and Decision-making: The asset management department decides whether to repair, replace, or write off the chair based on the service life, nature of the damage (natural aging or human-induced), and repair costs. If the minimum service life has not been reached, priority should be given to repair; if the repair costs are too high or there are safety hazards, write-off may be approved.

III. Write-off Conditions
One of the following conditions must be met:

  • Severe damage beyond repair: Such as structural deformation affecting safety;
  • Damage to core components with high repair costs: Such as damage to key components like pneumatic rods or wheels;
  • Technological obsolescence unable to meet business needs: Such as unreasonable design affecting work efficiency;
  • Inability to obtain spare parts for maintenance: Such as the manufacturer discontinuing production, resulting in a lack of spare parts.

IV. Precautions

  • The write-off time limit is not a mandatory standard. The unit may adjust it based on financial conditions, usage frequency, and other factors, but it must comply with resource conservation and environmental protection requirements.
  • The write-off of government office furniture must adhere to state-owned asset management regulations to avoid premature write-off due to outdated appearance or functional upgrades.

V. Application Template Reference
If a write-off application needs to be submitted, the following content may be referred to:

  • Overview of the damage (time, location, cause, part);
  • Analysis of the damage cause (improper use, quality issues, expiration of service life);
  • Necessity of replacement (impact on efficiency, safety hazards, corporate image);
  • Replacement suggestions (time, quantity, model, cost).
