Office Chair Usage Table
The table design for office chair usage management can refer to the following two plans, incorporating core elements such as unique identification, status tracking, and maintenance records to meet different scenario requirements:

Plan 1: Detailed Registration Form for Office Desks and Chairs (Suitable for Long-Term Asset Tracking) This plan focuses on the full lifecycle management of assets and includes 10 key fields: Office Chair Number: Uses the format 'ZY-Year-Serial Number' (e.g., ZY-2025-001) to ensure uniqueness and facilitate quick location of specific chairs. Brand and Model: Records the manufacturer and specific specifications, such as 'Herman Miller Aeron' or 'Lianyou Jinhao E', providing references for subsequent repairs or purchases. Material and Dimensions: Specifies the chair's structural materials (metal/mesh/leather) and three-dimensional dimensions (length ร width ร height, in cm), aiding in space planning and compatibility checks. Purchase Date and User: Records the procurement time and the responsible person's name, facilitating depreciation cycle calculations and accountability tracing. Usage Status: Classifies the asset's health status through categories such as 'Normal/Under Repair/Scrapped' for real-time monitoring. Maintenance Records: Logs the dates and contents of cleaning, maintenance, or repairs in a timeline format, such as 'October 1, 2025 - Wheel Replacement', supporting preventive maintenance.
Plan 2: Office Equipment Usage Statistics Form (Simplified Version, Suitable for Daily Usage Monitoring) This plan emphasizes usage efficiency and status feedback and includes 8 core fields: Serial Number and Equipment Name: Uses numerical identifiers to distinguish multiple chairs and specifies the equipment type as 'Office Chair'. Using Department and User: Locates the team to which the chair belongs and the current user, such as 'Administration Department - Zhang San'. Usage Time and Duration: Records the specific usage date (e.g., October 8, 2025) and cumulative hours to analyze usage frequency. Equipment Status: Quickly identifies problematic chairs through labels such as 'Normal/Under Repair/Scrapped', such as 'Under Repair - Wheel Damage'. Notes: Supplements special information, such as 'Adjustable Backrest' or 'Air Rod Replacement Needed', providing detailed support.
Design Points and Expansion Suggestions Unique Identification: Plan 1's numbering system is more rigorous and suitable for large enterprises; Plan 2 can achieve simple tracking through a combination of 'Serial Number + User'. Status Management: It is recommended to add a 'Maintenance Responsible Person' field (Plan 1) or an 'Estimated Repair Time' (Plan 2) to improve problem-handling efficiency. Maintenance Records: Plan 1's independent maintenance log is suitable for long-term tracking, while Plan 2 can record the most recent maintenance information in the notes section. Expandability: Fields such as 'Purchase Price' (cost accounting), 'Image Link' (visual confirmation), or 'Warranty Period' (compliance management) can be added based on needs. Data Security: Electronic forms should have permission controls to prevent the leakage of sensitive information (refer to Note).
The two plans can be flexibly selected based on enterprise size and management needs or combined to cover both asset registration and daily monitoring objectives.
