Office Chair Return and Refund

Admin October 12, 2026

The handling of return and refund for office chairs should be based on specific reasons and merchant policies, with the core principles being that returns are mandatory for quality issues, merchant policies take precedence, standard procedures are followed, and rights are protected in special circumstances.

I. Return and Refund for Quality Issues

If an office chair has serious quality issues, such as incorrect sizing, the use of moldy materials, or structural damage, consumers have the right to request a return and refund. For example, a consumer who purchased office desks and chairs requested a return due to incorrect sizing and serious defects. Although the merchant delayed, they should theoretically support the return. If the merchant refuses, the consumer can file a complaint with the platform or seek legal recourse. The key to returning items due to quality issues is having "sufficient evidence," which requires retaining actual product photos, inspection reports, and other materials to clearly explain the differences between the issues and the product description or quality standards.

II. Merchant-Initiated Policies

Some merchants introduce return and refund policies for specific events. For instance, Dongfang Zhenxuan implemented a double refund without return policy for all users who purchased "Liu Liu Stools" due to a specific issue. Such policies usually have time limits (e.g., limited to specific batches or time periods) and require meeting conditions set by the merchant (e.g., unused, packaging retained). Consumers need to stay informed about merchant announcements and apply within the policy's validity period to avoid missing out on their rights.

III. Standard Return Process

  1. Confirm Return Conditions: Check the return validity period (e.g., 7-day no-reason return), product integrity standards (e.g., assembled chairs need to be repackaged), and shipping cost responsibility rules through the order page or product details page.
  2. Contact After-Sales for Negotiation: Communicate through official platform channels and provide actual product photos to explain the issues. Large furniture returns usually require self-disassembly and packaging, and some merchants may specify partner logistics companies (e.g., Deppon, SF Express for large items).
  3. Shipping Cost Responsibility: If the return is due to quality issues, the shipping cost is generally borne by the merchant; if the return is due to personal reasons (e.g., dislike), the shipping cost is usually borne by the consumer. For free-shipping products, the consumer generally needs to pay the return shipping cost (e.g., if the original product was shipped for free, the shipping cost for sending it back needs to be deducted).

IV. Handling Special Circumstances

If the merchant delays or refuses a return, retain chat records, product photos, inspection reports, and other evidence to file a complaint with the platform (e.g., customer service intervention on Taobao or JD.com) or report to local market regulatory authorities (e.g., the 12315 hotline). The key to protecting rights is having a "complete chain of evidence," which requires keeping records from purchase records, issue descriptions, to communication records throughout the process to avoid having no proof for oral negotiations.
