Office Chair Replacement Fabric

Admin October 17, 2026

Replacing the fabric on an office chair can be done either by doing it yourself or by choosing a store service. Here are the specific steps:

Replacing the Fabric Yourself

  1. Prepare Tools and Materials You will need a Phillips screwdriver, a flat-head screwdriver, needle-nose pliers, scissors, new fabric (durable and breathable polyester or nylon blend recommended), a staple gun (or a hot-melt glue gun, self-tapping screws), and a pry bar if there are plastic cover plates on the sides of the chair.
  2. Remove the Old Fabric and Foam Layer Turn the chair upside down. Use the Phillips screwdriver to unscrew the screws holding the seat cushion in place and remove the seat cushion and backrest. Peel off the trim or snaps along the edges of the old fabric. If the old fabric is fixed with nails, use the needle-nose pliers to pull out the nails one by one, being careful not to damage the underlying foam or wood. After removing the old fabric, clean the foam and wooden frame. Check if the foam is collapsed or moldy. Replace it if it is severely deformed.
  3. Cut the New Fabric According to the Old One Lay the old fabric flat and cut along the edges, leaving a margin of 3 - 5 centimeters. If the old fabric is severely deformed or torn, use a soft measuring tape to measure the length, width, and thickness of the seat cushion and backrest, and draw the shape on the fabric. When cutting, ensure symmetry and that the fabric grain direction is consistent.
  4. Secure the New Fabric Put the new fabric over the wooden frame, pull it flat initially, and center it. Start securing from the center. If using a staple gun, first staple a nail in the middle of the front and then extend symmetrically to both sides. Pull the fabric tight each time you staple, with a nail spacing of 2 - 3 centimeters. Reinforce the edges. If it is a snap structure, tuck the fabric edge into the slot and press it tight with a screwdriver. For the curved part of the backrest, cut small slits at the corners to make the fabric fit. After securing, check if the surface is flat and adjust if necessary.
  5. Reassemble the Chair and Test Re-fix the repaired seat cushion and backrest with screws and tighten all the screws. Press on each part to confirm that the fabric is not loose and there is no abnormal noise. Sit on it to experience whether the support is even. If a part is too loose, add more staples. Finally, clean up the fabric scraps and nails.

Choosing a Store for Fabric Replacement

  1. Determine if the Store is Reliable
  • Craftsmanship: A reputable store should have the ability to disassemble, cut, sew, and reassemble, and be able to operate according to the original shape of the foam.
  • Fabric Selection: Provide samples of various fabrics (such as mesh, velvet, tech fabric, faux leather, etc.) and explain their advantages and disadvantages.
  • Price Transparency: Request separate quotes for โ€œfabric unit price + disassembly and assembly fee + on-site service feeโ€ to avoid additional charges.
  • After-sales Guarantee: Explain the precautions for using the chair after fabric replacement and provide guarantees such as no thread unravelling.
  1. Evaluate the Seat Before Fabric Replacement If the foam of the seat cushion is severely deformed, simply replacing the fabric will not improve the sitting comfort, and the filling material should be supplemented or replaced at the same time.
