Office Chair Rental Business Process

Admin October 08, 2026

The office chair rental business process mainly includes nine steps: demand communication, plan design, contract signing, stock preparation and inspection, on-time delivery, on-site installation, event support, recovery and inventory, and after-sales feedback.

  1. Demand Communication: Customers need to clarify the specific requirements for the event, covering aspects such as venue size, number of participants, chair types, and special needs. The rental company accurately grasps the demands through detailed communication and uses a 'demand checklist' to specify the scenario, number of people, environment, and supporting needs, such as whether tablecloths or chair covers are required, to avoid communication discrepancies.
  2. Plan Design: Based on the venue conditions and the quantity of items, the rental company formulates transportation and placement plans, which may involve sending a dedicated person for on-site inspection or making judgments through pictures. Meanwhile, appropriate chair types are selected according to the nature of the event and the characteristics of the venue. For example, comfortable and aesthetically pleasing office chairs are chosen for formal meetings, lightweight and portable folding chairs for outdoor events, and customized or specially designed chairs may be needed for special occasions.
  3. Contract Signing: The contract details the rental quantity, rent, deposit, rental period, and liability for breach of contract, with clear and explicit terms. The rental company and the customer confirm the specific delivery time and location, and the customer signs the contract after verifying that the terms are correct.
  4. Stock Preparation and Inspection: Chairs are cleaned and inspected before and after each rental. Regular maintenance is carried out on fasteners, coatings, load-bearing components, etc., based on historical usage to prevent damage at the event site.
  5. On-time Delivery: The rental company arranges a dedicated logistics team for delivery, selects reliable transportation vehicles, and takes appropriate protective measures. The route is confirmed 24 hours in advance, with a buffer time of 1 - 2 hours reserved. For remote areas, dedicated vehicles are arranged for delivery to avoid delays.
  6. On-site Installation: Upon arrival at the site, staff arrange the chairs according to the customer's requirements to ensure a reasonable and aesthetically pleasing layout. For large-scale events, professional installation services are provided. Sufficient spare parts are brought during delivery, and more than two installers are arranged on-site. After installation, each set is checked for stability, and the quantity is verified three times.
  7. Event Support: During the event, a dedicated person is stationed on-site to promptly resolve issues such as chair damage or loss and prepare a certain number of spare chairs to deal with emergencies.
  8. Recovery and Inventory: After the event, the return of the rental is communicated in advance. The rental company sends staff to collect the chairs and conduct an inventory check. Both parties take photos together to record the initial state upon delivery, mark the locations of flaws, and the contract clearly defines the criteria for distinguishing between 'normal wear and tear' and 'man-made damage' as well as the compensation plan.
  9. After-sales Feedback: After the event, the rental company proactively contacts the customer to gather opinions and suggestions to improve service quality.
