Reimbursement for Office Chairs
Admin October 08, 2026
Reimbursement for office chairs must strictly adhere to the 'Invoice Management Measures of the People's Republic of China' and relevant corporate reimbursement policies to ensure legality and compliance.

I. Invoice Management Requirements
- Obtain Legal Invoices When purchasing office chairs, it is essential to obtain formal invoices from the seller, which is a fundamental prerequisite for reimbursement. The invoice must bear the seller's special invoice stamp and be verifiable through the tax authority's authentication system.
- Ensure Accurate Content The invoice must clearly specify the name, specifications, model, quantity, unit price, and total amount of the office chairs. Vague terms such as 'office supplies' or 'furniture' are not acceptable. If multiple items are purchased, they must be itemized separately or accompanied by a sales list to ensure that the amounts match the contract and payment records.
- Prohibit False Invoicing False invoicing, such as fabricating transactions or altering amounts, is illegal and may result in tax penalties. Supporting documents such as purchase contracts and payment vouchers must be provided during reimbursement to prove the authenticity of the transaction.
II. Basis for Establishing Corporate Reimbursement Standards
- Assess Actual Needs Determine the purchase quantity based on the number of employees in the department, the office area, and usage frequency. For example, open-plan offices can be configured with one chair per person, while conference rooms require additional conference chairs.
- Reference Market Prices Determine the average market price of similar office chairs through price comparison platforms or supplier quotes. Companies typically set a reimbursement cap (e.g., no more than 2000 yuan per chair) to avoid excessive purchases of high-end products.
- Internal Policy Constraints Some companies require an approval process before purchase to clarify the budget source or stipulate that only office chairs meeting ergonomic design and environmental certification standards are eligible for reimbursement, balancing cost and employee health.
III. Reimbursement Process Specifications
- Submit Application Employees must fill out a reimbursement form and attach the invoice, purchase contract, payment record, and asset entry form (if applicable for fixed assets).
- Financial Review The finance department verifies the authenticity of the invoice, compliance of the content, and reasonableness of the amount to confirm adherence to corporate reimbursement standards.
- Approval and Payment After approval by the department head and finance head, the reimbursement is paid via bank transfer or cash.
- Document Archiving All reimbursement materials must be bound and stored annually for tax inspections or internal audits.
Note: If the unit price of an office chair exceeds 5000 yuan, it may be classified as a fixed asset and subject to depreciation accounting under corporate asset management policies, rather than one-time reimbursement.
