Office Chair Reimbursement

Admin October 08, 2026

Office chair reimbursement must comply with corporate policies and the 'Invoice Management Measures of the People's Republic of China'. The specific requirements and procedures are as follows:

I. Basic Reimbursement Requirements

  1. Legal Invoice: When purchasing office chairs, an invoice issued by the payee must be obtained. The invoice content must be true and complete, clearly indicating the name, quantity, unit price, and amount of the office chairs. Changing the item name or amount is not allowed, as it may involve the illegal act of issuing false invoices.
  2. Authenticity Verification: The finance department will strictly verify the authenticity of the invoice, including checking the invoice code, number, and issuer information, to ensure there are no signs of forgery or tampering.

II. Basis for Reimbursement Standard Setting

  1. Actual Needs: Enterprises need to reasonably determine reimbursement standards based on factors such as the number of employees, office area size, and usage frequency. For example, open-plan offices may require bulk purchases of ordinary office chairs, while executive offices may be equipped with high-end ergonomic chairs.
  2. Market Prices: The reimbursement amount should refer to the average market price of similar products to avoid being too high or too low. For example, the market price of ordinary office chairs ranges from 300 to 800 yuan, while high-end models may exceed 2,000 yuan. Enterprises can set a reimbursement cap accordingly.
  3. Company Policies: Some enterprises specify reimbursement price ranges (e.g., no more than 1,000 yuan per chair) or require advance submission of a purchase application and approval before reimbursement.

III. Reimbursement Procedures and Precautions

  1. Application Submission: Employees must submit a reimbursement application promptly after purchase, attaching a legal invoice and a purchase description (e.g., purpose, quantity).
  2. Review and Approval: The finance department will verify the compliance of the invoice and assess the reasonableness of the reimbursement amount in conjunction with company policies. For example, if the invoice amount exceeds the company's specified cap, additional justification or adjustment of the reimbursement amount is required.
  3. Document Retention: Employees and the finance department must properly retain invoices, approval forms, and other documents for tax inspections or internal audits.

IV. Accounting Treatment Methods

  1. Low-Value Consumables: If the unit value of the office chair is relatively low (e.g., an ordinary model) or its service life is short, it can be directly recorded under the 'Administrative Expenses' account or accounted for through the 'Turnover Materials - Low-Value Consumables' account, with costs amortized over multiple periods.
  2. Fixed Assets: If the unit value is relatively high (e.g., a high-end ergonomic chair) and its service life exceeds one year, it should be accounted for as a fixed asset. Upon purchase, it is recorded under the 'Fixed Assets' account, and depreciation is calculated and recorded under 'Administrative Expenses' during its service life.

V. Cash Reimbursement Compliance Cash reimbursement is only applicable to minor expenses (e.g., no more than 1,000 yuan per transaction). For large expenses, bank transfers are recommended. When seeking reimbursement, a legal invoice or receipt must be provided and reviewed by the department head and the finance department to confirm that the expenses comply with company policies.
