Office Chair Packaging

Admin October 10, 2026

The packaging of an office chair can be carried out according to the following steps:

Preparation

Prepare a cardboard box of an appropriate size (slightly larger than the maximum size of the chair when unfolded or folded), bubble wrap, pearl cotton, stretch wrap, tape, scissors, a marking pen. If the chair requires screw removal, prepare a wrench or screwdriver as well. At the same time, check the condition of the chair to ensure there are no loose parts or sharp edges and corners to prevent scratches or damage during packaging.

Determine Whether to Disassemble

  • Packaging without disassembly: When the moving passage and the space in the transportation vehicle are sufficiently spacious; when the chair has a simple structure or disassembly is complex and time-consuming is not desired; when a quick packaging process is preferred and efficiency is more important than extreme protection, the entire chair can be directly wrapped in multiple layers of bubble wrap and stretch wrap.
  • Packaging after disassembly: If the moving space is limited, such as narrow stairs, a small elevator car, or insufficient trunk space in a private car; if the chair has a high value or a precise structure, and disassembly can provide better protection and reduce the risk of deformation due to stress during transportation; when long-distance transportation or long-term storage is required, disassembly is recommended. The decision-making process can follow the steps of evaluating the moving space, examining the complexity of the chair's structure, considering the chair's value, and weighing the available time. If two or more of the first three factors indicate the need for more cautious protection, disassembly should be carried out.

Disassemble Removable Parts

For a regular office chair, the chair wheels (if they are casters) and the gas lift can be unscrewed and placed separately. If the backrest is adjustable, unscrew the connecting screws to separate the backrest from the seat cushion. If the armrests are removable, separate them as well.

Wrap and Protect Parts

  • Wrapping individual parts: Wrap metal/plastic parts such as chair legs, armrests, and gas lifts with bubble wrap or pearl cotton, and wrap the corners and edges 2 - 3 more layers. For seat cushions and backrests made of leather/fabric, first put them in plastic bags and then wrap them in bubble wrap to prevent scratches or moisture damage.
  • Overall wrapping: After folding the chair or combining the disassembled parts, wrap the entire set 2 - 3 times with stretch wrap to fix the wrapping layers and prevent looseness.

Packing and Internal Fixation

First, lay 1 - 2 layers of bubble wrap at the bottom of the cardboard box as a cushion. Place the largest part in the center of the box, put small parts in small plastic bags and place them in the gaps, and then fill all the gaps with bubble wrap or old newspapers. If there is extra height in the box, lay another layer of bubble wrap on the top.

Sealing the Box and Labeling

Seal the interfaces of the cardboard box with tape in a cross pattern, and attach 2 - 3 more layers of tape to key parts to ensure the box is firm. Use a marking pen to label words such as "Fragile", "Handle with Care", and "Chair" on the outside of the box. If there are multiple boxes, label them with serial numbers for easy inventory.

Precautions: Carefully study the instruction manual before disassembly and keep the parts properly. Wrap at least three to five layers, and wrap special parts tightly. Do not use the armrests as the force point when moving. Measure the size of large chairs before moving and plan the route. For irregularly shaped or large office chairs, it is recommended to use custom cardboard boxes or add wooden support strips, and take photos before transportation for record-keeping.
