Office Chair Numbering Methods

Admin October 09, 2026

There are three main methods for numbering office chairs, which can be selected based on actual management needs:

1. Division by Placement Area

This method is suitable for scenarios where the specific usage location of office chairs needs to be clarified. The numbering structure is Functional Department Code - Document Distinction Code - Sequence Number.

  • Functional Department Code: Uses 2-3 letters to represent the department to which the office chair belongs, such as "BGQ" for the office area, "HYB" for the conference room, and "ZJ" for the general manager's office.
  • Document Distinction Code: Uses 1 letter or number to distinguish asset types, for example, "A1" can represent an office chair (A for the furniture category, 1 for the chair subcategory).
  • Sequence Number: Uses 3 digits to indicate the arrangement order of office chairs within the same area, starting from 001 and incrementing. Example: The fifth office chair in the office area is numbered BGQ-A1-005; the second office chair in the conference room is numbered HYB-A1-002.

2. Division by Purchase Order

This method is suitable for scenarios where tracking the purchase time of office chairs is necessary. The numbering structure is Document Distinction Code - Sequence Number.

  • Document Distinction Code: Uses 2 letters to represent the asset type, for example, "BG" for office furniture, and "BGY" can further specify as office chairs.
  • Sequence Number: Uses 3 digits to indicate the purchase order, starting from 001 and incrementing. Example: The third office chair purchased in 2024 is numbered BGY-003; if different batches need to be distinguished, the year can be added before the code, such as 2024-BGY-003.

3. Four-Level Eleven-Digit Rule (Fixed Asset Coding)

This method is suitable for large enterprises or scenarios requiring unified management of fixed assets. The numbering structure is Fixed Asset Code - Store Name - Asset Category - Serial Number.

  • First Level (2 digits): Fixed asset code, fixed as "GD" (representing fixed assets).
  • Second Level (2 digits): Store or department name, for example, "PZ" for Pazhou Store, "ZJ" for headquarters.
  • Third Level (2 digits): Asset category, for example, "BJ" for office furniture, "BGY" can be refined as office chairs.
  • Fourth Level (5 digits): Asset serial number, starting from 00001 and incrementing; if there are accessories (such as chair wheels, armrests), "-F1", "-F2", etc., can be added after the serial number. Example: The 123rd office chair in Pazhou Store is numbered GD-PZ-BJ-00123; if this chair has spare chair wheels, the number is GD-PZ-BJ-00123-F1.

Selection Recommendations:

  • Small enterprises or departments can choose the area division method for easy asset location;
  • Enterprises with frequent purchases can choose the purchase order method to simplify the numbering process;
  • Group enterprises or scenarios requiring auditing are recommended to adopt the four-level eleven-digit rule to achieve standardized management.
