Office Chair Moving Guide

Admin October 09, 2026

Moving an office chair requires meticulous preparation in multiple stages, including packing, transportation, and handling, to ensure the chair arrives safely and undamaged at its new location.

Pre-Packing Preparation

First, wipe the chair clean with a cloth, covering areas such as the armrests and backrest, to prevent dust from causing slippage during packing.

Disassembly of Components

For office chairs that can be disassembled, prepare tools such as screwdrivers and wrenches. Carefully study the instruction manual before disassembly, separating the components into parts like the base, support frame, and seat. After disassembly, properly store small parts such as screws and washers to prevent loss. Additionally, be mindful of protecting the paint finish and avoid striking it directly with a metal hammer.

Packing Process

  • Prioritize Original Packaging: If the original packaging is intact, place the packed components directly inside. If lost, select a reinforced cardboard box or cut and shape hard cardboard to create an outer package, using hard corner protectors to safeguard the edges.
  • Component Wrapping: Wrap disassembled components with at least three to five layers of stretch wrap to prevent scratches, then wrap them with bubble wrap horizontally and vertically twice each to cushion against transportation pressure. Non-disassemblable components should be tightly wrapped with stretch wrap first, then reinforced with bubble wrap. For valuable chairs (such as rosewood or solid wood), construct a framed wooden crate and fill it with foam or clothing to minimize gaps.
  • Alternative Packaging Without Cardboard Boxes: If suitable cardboard boxes are unavailable, tightly wrap the components with bubble wrap, then secure them in a burlap sack, marking the recipient's address on the outer packaging.
  • Special Handling: For ergonomic chairs, tightly wrap them with bubble wrap and place them in a sturdy cardboard box, ensuring shock-absorbing foam is included. Remove armrests and headrests, place the screws in a sealed bag, and attach it to the outer packaging. For high-end mesh chair seats, prevent snagging by covering them with a washing machine dust cover before moving.

Selection of Courier Companies

It is recommended to choose courier companies like SF Express or Deppon that handle large-item transportation. When placing an order, accurately fill in the package's weight and dimensions. Some companies calculate shipping costs based on volume and weight; selecting the option with a 'volumetric weight ratio of eight thousand' can provide a more reasonable cost estimate.

Protective Measures

  • Purchase Transportation Insurance: The insured amount should match the actual value of the office chair to reduce the risk of damage or loss during transportation.
  • Opt for Real-Time Logistics Tracking: Prioritize courier companies that offer logistics information to monitor the shipping status at any time.

Handling Precautions

  • Avoid using the armrests as leverage points, as they are fragile. It is advisable to lift the chair by the seat to prevent breakage.
  • For large chairs, plan the route in advance, measure the chair's length, width, and height, and confirm whether the elevator or stairs can accommodate it to avoid obstruction.
  • If the chair is heavy, it is recommended that two people handle it to maintain even weight distribution and prevent tipping.
  • On moving day, label the chair as 'fragile' to remind movers to handle it with care. After unpacking at the new home, first check the pneumatic rod for any transportation damage. For cross-city moves, opt for direct truck delivery to avoid rough handling during transit and sorting. When loading the chair onto the vehicle, ensure it is the last item loaded and the first one unloaded to prevent it from being crushed by other boxes.
