Office Chair Management Standards

Admin October 10, 2026

The management standards for office chairs cover multiple dimensions such as specifications and performance, configuration, quality and safety, and functionality, and need to be formulated comprehensively by combining policy norms with actual usage needs.

1. Specifications and Performance Standards

According to the Guidelines for Specifications and Performance of General Office Furniture in Central Administrative Institutions, office chairs must clearly define appearance dimensions, surface physical and chemical properties (such as abrasion resistance and corrosion resistance), mechanical properties (such as load-bearing capacity and stability), and environmental protection requirements (such as formaldehyde emission levels). For example, the height adjustment range of the seat should be no less than 60mm to accommodate users of different heights; the materials must comply with environmental protection standards to reduce the release of harmful substances. Additionally, the specifications should be coordinated with the office space area to avoid excessive space occupation or impact on activity efficiency.

2. Configuration and Usage Standards

  1. Position Configuration: Central government agencies specify the correspondence between positions and the number of office chairs. For example, positions at the director-general and deputy director-general levels are equipped with one office chair and one chair for use in front of the desk, while positions at the division level and below are equipped with only one office chair.
  2. Service Life: Although there is no separate regulation on the minimum service life of office chairs, emphasis is placed on "practicing frugality," requiring that in-use equipment continue to be used and avoiding frequent replacements.
  3. Approval Procedures: When procurement is indeed necessary, a configuration plan must be formulated and the approval process strictly followed, with priority given to meeting needs through reallocation.

3. Quality and Safety Standards

  1. Official Standards: QB/T 2280-2016 Office Furniture - Office Chairs specifies classification, technical requirements, and test methods, covering safety (such as structural stability and absence of sharp edges) and functionality (such as durability of adjustment mechanisms).
  2. Body Pressure Testing: QB/T 5618-2021 standardizes the measurement method for body pressure distribution to ensure that chair design complies with ergonomics and reduces fatigue from prolonged sitting.
  3. Supplementary Group Standards: For example, T/SPEMF 0003-2021 adds requirements for flame retardancy and limits on harmful substances; T/CNFA 016-2021 clarifies rules for assessing quality and safety grades, dividing products into superior and qualified grades.

4. Functional Standards

A qualified office chair must meet the following requirements:

  1. Adjustability: Height and angle adjustable, supporting 360-degree rotation, with a rounded front edge of the seat to avoid pressing on the legs.
  2. Support: The backrest fits the curve of the lower back, dispersing pressure and protecting spinal health.
  3. Mobility: A five-claw base provides high stability, and a wheeled design facilitates movement. The wheel material should be suitable for the type of floor (such as carpet or hard flooring).
  4. Safety and Comfort: No risk of snagging clothing, soft-touch armrests, easy-to-operate adjustment mechanisms, and equipped with product guarantees and after-sales service.
