Office Chair Malfunction

Admin October 09, 2026

The following are common malfunctions of office chairs and their solutions:

Recline Failure: If the chair's recline function fails, it may be locked. In this case, find the locking button on the chair, pull it outwards to unlock it, and then try to lean the backrest back to restore the recline function.

Tilting to One Side: Chair tilting can be caused by various reasons. First, check the condition of the wheels. Place the chair upright and upside down to ensure that each wheel foot is in contact with the ground. If any wheel foot is damaged, purchase new wheels that match the original ones for replacement. If the wheels are in good condition and the ground is level, further check whether the seat plate is damaged. If there are cracks or deformations in the seat plate, replace it promptly.

Making Strange Noises, Stuttering, or Even Malfunctioning:

  • Height Adjustment Stuttering/Noises: If there are creaking sounds or the chair gets stuck when adjusting the height, lubricate the metal friction surface at the connection between the base and the gas lift. You can use a special lubricant or a small amount of engine oil.
  • Inflexible Rotation: If you need to exert force or hear friction sounds when rotating the seat, apply white lithium grease (recommended viscosity grade NLGI 2) to the track of the base turntable to reduce friction.
  • Loose Armrests/Difficult Adjustment: Disassemble the internal rack of the armrest height adjustment buckle and apply a small amount of grease to restore the adjustment function.
  • Backrest Rebound Failure: The plastic gear set of the synchronous backrest requires food-grade grease (to avoid contact with clothing) to restore the rebound function.
  • Poor Wheel Rolling: Each year, use a cotton swab to apply grease to the wheel axles (be sure to remove any tangled hair first) to keep the wheels rolling smoothly.

Gas Lift Scratching the Ground:

  • Component Aging: The rubber ring at the bottom of the gas lift ages or its sealing performance decreases, resulting in reduced support force and the lift body sinking to touch the ground. Office chairs that have been used for more than two years are more prone to this problem, and the gas lift or rubber ring needs to be replaced.
  • Base Structure Problems: If the tilt angle of the five-claw base is abnormal, the design tolerance at the connection exceeds the standard, or the steel plate of the explosion-proof base is deformed, contact a professional repair person to adjust or replace the base.
  • Poor Adaptability between the Ground and the Chair Wheels: Hard wheels rubbing against a rough ground can cause the entire chair to vibrate, which may loosen the fixing screws of the gas lift. It is recommended to choose appropriate chair wheels according to the ground material (e.g., soft wheels for carpets and hard wheels for hard floors).
