Office Chair Maintenance Instructions

Admin October 22, 2026

Office chair maintenance requires selecting the appropriate method based on the specific type of fault. Here are the maintenance instructions for common issues:

Maintenance for tilting to one side

  1. Check the wheel status: Place the chair upright and upside down, and observe whether each wheel foot makes even contact with the ground. Confirm whether there are any damaged, deformed, or broken wheel axles.
  2. Replace damaged wheels: If damaged wheels are found, purchase new wheels that match the shape and size of the original wheel axles. When removing the old wheels, hold the wheel with one hand and the bottom of the chair with the other hand, and pull hard. If it is difficult to remove, use a flat-head screwdriver inserted into the gap between the wheel axle and the socket as a lever for assistance.
  3. Lubricate and install: Apply a small amount of spray lubricant (such as WD-40) or Vaseline inside the chair base socket to reduce friction. Use a rubber mallet to vertically hammer the new wheel into the socket, ensuring that the wheel axle is fully inserted into the base.
  4. Test and troubleshoot: After installation, push the chair to test whether it is stable. If it still tilts, further check whether the seat plate is cracked or deformed, and replace it if necessary.

Maintenance for the backrest that cannot stand upright or be adjusted

  1. Check the hydraulic system: If the backrest cannot remain upright or adjust its height, it may be due to a telescoping fault of the hydraulic rod. Lay the chair on its side and observe whether the hydraulic mechanism has fallen off.
  2. Repair the drive components: If the hydraulic mechanism has fallen off, check whether the fixing screws are loose or missing. If the screws are non-standard models, they can be replaced with standard screws, and the screw length can be adjusted by adding washers to ensure that the installation does not affect the range of motion of the hydraulic rod.
  3. Replace the hydraulic rod: If the hydraulic rod has internal oil leakage or is stuck, contact a professional for replacement to avoid safety hazards caused by self-disassembly.

Lubrication and maintenance methods

  1. Stuttering/abnormal noise during lifting: Apply a small amount of grease to the metal friction surface at the connection between the base and the pneumatic rod.
  2. Inflexible rotation: Apply white lithium grease (NLGI Grade 2 viscosity) to the track of the chassis turntable to improve rotation smoothness.
  3. Loose armrests/difficult adjustment: Disassemble the height adjustment buckle of the armrests, clean the internal rack, and then apply a trace amount of grease.
  4. Backrest rebound failure: The plastic gear set of a synchronous backrest requires the use of food-grade grease to avoid corroding the material.
  5. Poor rolling of the casters: Every year, use a cotton swab dipped in grease to apply it to the wheel axles. Before operation, remove any hair or fibers wrapped around the wheel axles.

Maintenance precautions

  1. Avoid excessive use of rust removers: Solvents such as WD-40 can wash away the original grease and accelerate component wear. They should only be used for short-term emergency situations.
  2. Do not use cooking oil: Cooking oil tends to solidify after oxidation, which may attract cockroaches or clog mechanical structures.
  3. Control the amount of grease: Excessive application will attract dust and form an abrasive paste. A thin layer is sufficient to meet lubrication needs.
  4. Handling of pneumatic rod faults: If the pneumatic rod cannot be lifted or lowered or makes abnormal noises, stop using it immediately and contact a professional for maintenance to prevent the risk of explosion.
