Office Chair Maintenance

Admin October 08, 2026

The maintenance of office chairs involves daily maintenance costs, hydraulic rod repairs, and repairs for other common issues, as detailed below:

Daily Maintenance Costs

The cost of maintaining an office chair varies depending on its type, maintenance items, and the extent of damage. Simple cleaning or replacement of small parts incurs relatively low costs, approximately 100 - 200 yuan. Medium-level repairs, such as replacing the chair back or gas rod, cost around 300 - 500 yuan. Maintenance costs for genuine leather office chairs are relatively higher, with a single maintenance session costing about 350 yuan. Weekly maintenance in summer costs about 80 yuan per session. A full cleaning, disinfection, and leather care session costs about 240 yuan, with annual maintenance costs around 1000 yuan. Indoor cleaning and disinfection every six months cost 400 - 800 yuan.

Hydraulic Rod Repairs

When issues arise with the hydraulic rod of an office chair, follow these steps:

  • Diagnose the Problem: If the chair cannot be raised or lowered, it may be due to poor internal sealing of the hydraulic rod or a faulty control valve. If there is abnormal noise, it may be due to a lack of lubrication or loose parts in the hydraulic rod.
  • Seal Problem Handling: If the sealing gasket is damaged, invert the chair, carefully disassemble the connection between the hydraulic rod and the seat, purchase a compatible sealing gasket for replacement, and then reassemble it.
  • Control Valve Fault Handling: Try cleaning the valve to remove any impurities. If the issue persists after cleaning, replace the control valve with a new one.
  • Lack of Lubrication Handling: Use professional hydraulic oil or lubricant to drip an appropriate amount onto the moving parts of the hydraulic rod, then repeatedly raise and lower the chair to evenly distribute the lubricant.
  • Loose Parts Handling: Use a wrench or other tools to tighten any loose screws. Precautions: Repairing the hydraulic rod of an office chair can be dangerous. Ensure the chair is in a stable state before operation to avoid injury from the chair falling during the repair process. If you lack repair experience or cannot solve the problem, seek the help of a professional repair technician.

Repairs for Other Common Issues

  • Backrest Cannot Stand Upright: After prolonged use, if the backrest cannot be fixed or the seat adjustment cannot make the backrest stand upright, it may be due to a hydraulic system fault. Invert the chair horizontally and check if the transmission parts of the backrest are normal. If the slide rails are damaged, replace them with new ones. If the slide rails are not flexible, apply some grease to them or add some cushioning washers to both sides of the slide rails. If the chair's buckle is normal but pulling the hydraulic mechanism causes it to drop directly, it may be due to damage to the pivot screw of the hydraulic rod, which is not connected to the base. If the fixing screw of the pivot is not non-standard, replace it directly with a marked screw, or use tapping to insert a screw, or use a wrench to directly fit onto the screw.
  • Chair Height Adjustment: Check the bottom of the office chair. If there is a telescopic rod structure similar to a bicycle seat, height adjustment is possible, but it may require some effort. Some office chairs adjust the height of the entire chair body by touching the backrest, while also improving the fit between the back cushion and the back. When sitting on the chair, maintain a distance of at least 5 cm between the front end of the office chair and the inside of the knees to ensure sufficient movement space. Adjust the optimal distance between the chair and the desktop. The standard height of table furniture ranges from 700 mm to 720 mm.
