Accounting for Office Chairs as Expenses

Admin October 10, 2026

The method of accounting for office chairs as expenses should be determined based on their unit value and service life, which can be divided into the following two scenarios:

1. Unit value below 5,000 yuan and service life not exceeding one year

Such office chairs are typically regarded as low-value consumables or directly accounted for as current expenses. The specific handling methods are as follows:

  1. In-warehouse and then withdrawal: If the company requires office chairs to be put into the warehouse before withdrawal, the accounting entries are as follows:
    • Upon purchase: Debit 'Turnover Materials - Low-Value Consumables' and credit 'Bank Deposit';
    • Upon withdrawal: Allocate expenses at a 50% ratio, debit 'Administrative Expenses - Amortization of Low-Value Consumables' and credit 'Turnover Materials - Low-Value Consumables'.
  2. Direct delivery for use: If no in-warehouse process is required, expenses can be directly accounted for, with the entries as follows:
    • Debit 'Administrative Expenses - Office Expenses' (or 'Selling Expenses' if used by the sales department) and credit 'Bank Deposit'. Typical Scenario: Ordinary office chairs priced between 100 and 300 yuan, even if used for several years, can be directly expensed due to their significantly lower value compared to the fixed asset standard (usually 2,000 yuan or 5,000 yuan), with minimal impact on profits.

2. Unit value not exceeding 5,000 yuan but meeting fixed asset criteria (service life exceeding one year)

According to tax regulations, companies can choose to account for such office chairs as current costs and expenses in one lump sum without annual depreciation. The specific entries are as follows:

  • Debit 'Administrative Expenses - Office Expenses' (or 'Selling Expenses') and debit 'Taxes Payable - Input VAT' (if a VAT invoice is obtained), and credit 'Bank Deposit/Cash'. Policy Basis: The State Taxation Administration allows one-time pre-tax deduction for fixed assets with a unit value not exceeding 5,000 yuan to simplify accounting procedures. For example, for an office chair priced at 3,000 yuan with an expected service life of three years, the company can choose to account for it as an expense in one lump sum or amortize it over three years, but one-time deduction under tax law is more beneficial for reducing current tax liabilities.

Notes:

  1. Different companies may have varying criteria for distinguishing between low-value consumables and fixed assets (e.g., some companies use 2,000 yuan as the threshold), which should be implemented in accordance with internal regulations;
  2. If the office chairs are used by the sales department, expenses should be accounted for under 'Selling Expenses' rather than 'Administrative Expenses';
  3. Deduction of input VAT is subject to obtaining valid invoices.
