How to Depreciate Office Chairs
The minimum depreciation period for office chairs is 5 years. Enterprises can determine the specific depreciation period based on actual circumstances, but it must not be lower than the statutory standard. At the same time, they need to select an appropriate depreciation method and reasonably estimate the residual value rate.

Statutory Minimum Depreciation Period
According to the "Implementation Regulations of the Enterprise Income Tax Law of the People's Republic of China", the minimum depreciation period for office chairs is 5 years. This is a statutory standard that enterprises must comply with for tax and accounting purposes. Regardless of the actual usage of office chairs, the depreciation period must not be less than this limit. For example, even high-quality ergonomic chairs costing thousands of yuan still have a statutory depreciation period of 5 years.
Flexibility in Actual Usage Period
Enterprises can reasonably determine the specific depreciation period based on the actual usage and material characteristics of office chairs, within the framework of the statutory minimum period. For example, solid wood chairs can last more than ten years with proper maintenance, but those frequently used in offices may need replacement after five or six years. Mesh chairs typically have a lifespan of five to seven years, while plastic chairs, being prone to deformation, often need to be replaced in less than five years. These actual usage periods can serve as references for enterprises when determining depreciation periods, but the final period must not be less than 5 years.
Selection of Depreciation Methods
Enterprises need to select an appropriate depreciation method to calculate depreciation amounts. Common methods include the straight-line method and accelerated depreciation methods. The straight-line method is a commonly used accounting approach where depreciation is charged at a fixed proportion each year. For example, if three chairs with a total price of 1,000 yuan are depreciated over 5 years, the annual depreciation amount is 200 yuan. Accelerated depreciation methods allow for higher depreciation charges in the early stages of asset usage, suitable for assets with rapid technological updates or high wear and tear, but they must comply with tax regulations.
Reasonable Estimation of Residual Value Rate
Enterprises can estimate the residual value rate of office chairs on their own, with a reasonable range of 0% to 5%. The residual value rate refers to the proportion of the estimated recoverable residual value to the original value when the asset is scrapped. For example, if the original value of an office chair is 1,000 yuan and the estimated residual value rate is 5%, the residual value is 50 yuan, and the total depreciation amount is 950 yuan.
Conditions for Stopping Depreciation Charges
Depreciation should start from the month following the month when the office chair is put into use and stop in the month when it is taken out of use. For example, if an office chair is taken out of use in June 2023, no depreciation will be charged in June, and previously charged depreciation does not need to be adjusted.
