Office Chair Cleaning Notice

Admin October 11, 2026

The company's office chair cleaning notice and related requirements are as follows:

To ensure a clean and orderly office environment and enhance employee work comfort, this notice is issued regarding the cleaning of office chairs. The specific content is divided into four parts: daily cleaning, regular maintenance, dedicated management, and employee cooperation.

I. Daily Cleaning Requirements Staff members are required to wipe the chairs with a dry, soft cloth every morning and evening, focusing on removing dust and stains from areas such as the seat, armrests, and backrest. Wiping with a dry cloth prevents moisture from seeping into the chair material, which could cause deformation or mold, especially for delicate materials like leather and mesh. If localized stains are difficult to remove, a neutral cleaning agent can be sprayed onto a soft cloth and gently wiped. Do not spray the cleaning agent directly onto the chair surface to prevent secondary contamination from liquid residue.

II. Regular Maintenance Specifications Every week, the chair surface should be thoroughly wiped with a damp cloth until it reaches a soft sheen. After wiping, allow it to air dry naturally or use a dry cloth to absorb moisture. Once completely dry, apply new wax. The new wax forms a protective film that reduces dust adhesion and extends the lifespan of the chair surface. Additionally, regularly inspect the chair for wear and tear, focusing on whether the wheels rotate smoothly, the legs are stable, and whether there are any cracks or collapses on the seat. If damaged parts are found, promptly contact the logistics department to arrange for repairs or replacements to avoid safety issues caused by minor problems.

III. Dedicated Management Mechanism The logistics department shall designate a dedicated person to oversee the entire chair maintenance process, including cleaning, maintenance, and regular inspections. The manager needs to create a cleaning schedule to ensure that daily cleaning tasks are carried out properly and establish a chair maintenance file to record each cleaning, repair, and replacement. For chairs in high-frequency use areas (such as conference rooms and reception desks), increase the cleaning frequency to ensure they are always in optimal condition.

IV. Employee Cooperation Matters All employees are required to keep their chairs clean and tidy, avoiding placing miscellaneous items (such as documents and snack wrappers) on the chair surface to prevent stains from seeping in or scratching the surface. Use a placemat during meals to avoid food residue or oil stains from contaminating the chair surface. If any abnormalities are found with the chair (such as unusual noises or looseness), promptly report them to the manager and do not disassemble or repair it yourself.

All colleagues are requested to follow the requirements of this notice and work together to maintain a good office environment.
