Office Chair Cannot Recline

Admin October 10, 2026

An office chair that cannot recline may be due to a locked function, a malfunctioning adjustment mechanism, or issues with special components in a reclining chair, which can be resolved through targeted operations.

Function Lock

Some office chairs are designed with a recline lock function. If the chair cannot recline, first check whether the function is locked. Usually, the lock button is located on a lever near the right or left side beneath the seat. To unlock it, gently pull up or push the lever. After unlocking, try reclining the backrest. If it moves normally, the issue is resolved. This design is commonly found in office settings where a fixed sitting posture is required, and users may accidentally trigger the lock or leave it locked due to infrequent adjustments.

Adjustment Mechanism Issues

If the function is not locked, further inspection of the adjustment mechanism is needed:

  • Lever Adjustment System: Locate the adjustment lever beneath the seat. After releasing the recline lock, lean back and simultaneously adjust the lever to achieve a comfortable backrest angle. If the chair has a locking function, pull up or push the lever again to secure the position after adjusting to the desired angle. This system is common in traditional mechanical office chairs. Be mindful of the lever's operating force to avoid damaging components through excessive force.
  • Knob Adjustment System: The knob is typically located near the center of the lower part of the seat, close to the support column. Turning it clockwise increases the resistance for the backrest to recline, suitable for users with a heavier weight or those needing a fixed sitting posture; turning it counterclockwise reduces the resistance, facilitating recline for lighter-weight users. If the recline lock fails, check the cylindrical knob on the base. Turning it clockwise enhances the rebound support force, while turning it counterclockwise weakens it. Adjust gradually and test the effect to avoid the backrest suddenly reclining due to insufficient resistance.
  • Pneumatic Adjustment System: The pneumatic lever is often integrated with the height adjustment lever. Adjust the recline angle by pushing it in different directions. When using it, gently pull the lever and slowly adjust the backrest to a comfortable position to avoid unstable air pressure caused by rapid operation. This system is common in modern pneumatic rod office chairs. Regularly check the air rod's seal to prevent air leaks that could affect the adjustment function.

Special Issues with Reclining Chairs

For reclining office chairs, additional checks on the wired remote control switch and the air rod are required:

  • Wired Remote Control Switch Failure: First, confirm whether the wired remote control switch closes automatically. If not, check if the wired remote is loose, broken, or disengaged. Re-hanging the terminal may restore functionality. The wired remote control system controls the backrest angle through wire transmission. Prolonged use may cause wear on the connecting parts, so regular inspection and replacement of damaged components are necessary.
  • Air Rod Deflation: If the small air rod connecting the backrest is deflated, it will result in the inability to adjust the backrest or insufficient support force. In this case, the air rod needs to be replaced. Choose a specification that matches the original chair to ensure safety. It is recommended that air rod replacement be carried out by a professional to avoid air pressure leaks or component damage caused by self-disassembly.
