Accounting Treatment of Office Chairs

Admin October 08, 2026

The accounting treatment of office chairs should be comprehensively determined based on their value, useful life, and corporate accounting policies, typically falling into three categories: recording as administrative expenses, low-value consumables, or fixed assets. Details are as follows:

1. Recording as Administrative Expenses
If the cost of office chairs is relatively low (e.g., the unit price or the total purchase amount for a single batch is small, usually below 2000 yuan or 5000 yuan) and their useful life does not exceed one year, they can be directly recorded under the 'Administrative Expenses - Office Expenses' account. For example, if a company purchases ordinary office chairs at a unit price of several hundred yuan, the expenses are fully recorded in the current period's profit and loss without amortization. This approach is suitable for low-value, fast-consuming office supplies, aligning with the 'materiality principle' in accounting and simplifying the accounting process.

2. Recording as Low-Value Consumables
If the unit price or total purchase amount for a single batch of office chairs is within the company's specified limit (usually below 2000 yuan) and their expected useful life exceeds one year but does not meet the criteria for fixed assets, they can be classified as low-value consumables. Accounting treatment can adopt the one-time amortization method or the five-fifths amortization method:

  • One-time amortization method: The full cost is directly recorded as an expense in the current period (e.g., administrative expenses) upon purchase;
  • Five-fifths amortization method: 50% of the cost is recorded upon purchase, and the remaining 50% is amortized over the usage period.
    For example, if a company purchases 10 sets of conference chairs at a unit price of 1500 yuan, totaling 15,000 yuan, and adopts a 12-month amortization period, the monthly administrative expense would be 1250 yuan (15,000 yuan รท 12 months). This method is suitable for items with slightly higher value but not meeting the fixed asset criteria, balancing the rationality of cost amortization.

3. Recording as Fixed Assets
If the unit price of office chairs exceeds the company's set capitalization threshold (most companies use 2000 yuan or 5000 yuan as the boundary) and their expected useful life exceeds one year, they should be recorded under the 'Fixed Assets' account and depreciated according to regulations. For example, purchasing a set of solid wood office chairs worth 5000 yuan with a 5-year depreciation period and a 5% residual value rate would result in a monthly depreciation amount of approximately 79 yuan (5000 yuan ร— 95% รท 60 months). During fixed asset inventory checks, office chairs are clearly classified under 'office furniture'. This approach complies with the definition of fixed assets in the 'Accounting Standards for Business Enterprises', ensuring that the value amortization of long-term assets matches their actual usage.

Notes:

  • The capitalization criteria are set by the company in accordance with the 'Accounting Standards for Business Enterprises' and should be clearly defined in the accounting policies;
  • If payment is made in installments or on credit, the credit account should be replaced with 'Accounts Payable';
  • Tax treatment may differ from accounting treatment (e.g., minimum depreciation periods under tax law), but this does not affect the choice of accounts, which should be based on accounting treatment.
