Accounting Subjects for Office Chairs

Admin October 16, 2026

The accounting subjects for office chairs are determined based on their unit value and service life, primarily falling into two categories: low-value consumables/administrative expenses or fixed assets. Details are as follows:

I. Unit Value Below 5,000 Yuan and Service Life Not Exceeding One Year

Such office chairs are typically treated as low-value consumables or directly recorded as administrative expenses, with two specific scenarios:

  1. Direct Expensing: If the unit price is below 2,000 Yuan and the service life is less than one year, they can be directly recorded as current expenses. The accounting entries are as follows:

    • Upon purchase: Debit 'Administrative Expenses - Office Expenses', Debit 'Taxes Payable - Value-Added Tax (Input Tax)', Credit 'Bank Deposit/Cash'.
    • This method does not require accounting through asset categories, simplifying the process and is suitable for items with low value and rapid depreciation.
  2. Accounting as Low-Value Consumables: If the unit price is below 2,000 Yuan but the service life exceeds one year, they should first be recorded under the 'Low-Value Consumables' category and then transferred to administrative expenses using an amortization method. For example, when using the one-time amortization method:

    • Upon purchase: Debit 'Low-Value Consumables - Office Furniture', Debit 'Taxes Payable - Value-Added Tax (Input Tax)', Credit 'Bank Deposit/Cash'.
    • Upon amortization: Debit 'Administrative Expenses - Office Expenses', Credit 'Low-Value Consumables - Office Furniture'.
    • If they need to be stored and then issued (e.g., when the unit value is close to 2,000 Yuan), they can also be transitioned through the 'Revolving Materials - Low-Value Consumables' category, with 50% of the cost amortized upon issuance.

II. High Unit Value and Service Life Exceeding One Year

Such office chairs must be accounted for as fixed assets, with the following specific rules:

  1. General Fixed Asset Treatment: Office chairs with a unit value above 2,000 Yuan and a service life exceeding one year are directly recorded under the 'Fixed Assets' category. For example, if an office chair with a unit price of 2,500 Yuan is purchased for a total of 5,000 Yuan, the accounting entries are as follows:

    • Upon purchase: Debit 'Fixed Assets' 5,000 Yuan, Credit 'Bank Deposit' 5,000 Yuan.
    • Subsequently, depreciation is calculated periodically (starting from the month following use, with a minimum depreciation period of five years, commonly using the straight-line method), with depreciation expenses recorded under 'Administrative Expenses'.
  2. One-Time Recording as Cost Expenses: If the value does not exceed 5,000 Yuan but meets the criteria for fixed assets (e.g., service life exceeding one year), enterprises may choose simplified treatment and directly record them as current cost expenses. The entries are as follows:

    • Debit 'Administrative Expenses - Office Expenses', Debit 'Taxes Payable - Value-Added Tax (Input Tax)', Credit 'Bank Deposit/Cash'.
    • This method must comply with enterprise accounting standards and maintain consistency in accounting policies.

Summary: The accounting subjects for office chairs should be comprehensively determined based on their value and service life. Low-value, short-term items are prioritized for expensing, while high-value, long-term items are treated as fixed assets. Enterprises can choose simplified or standardized accounting methods based on actual circumstances.
