Accounting Entries for Office Chairs

Admin October 11, 2026

Accounting entries for office chairs should be determined based on their value and usage nature, and can be divided into the following three scenarios:

1. High value and usage period exceeding one year If the unit price of an office chair exceeds the enterprise's set threshold for fixed assets (e.g., 5000 yuan) and its expected usage period exceeds one year, it should be recorded under the 'Fixed Assets' category. The accounting entry is as follows: Debit: Fixed Assets - Office Furniture Debit: Taxes Payable - Value-Added Tax Payable (Input Tax) Credit: Bank Deposit/Cash Depreciation should be calculated from the month following its entry into service, based on a minimum of five years, using the straight-line method or other reasonable methods to allocate costs. For example, if an office chair is valued at 10,000 yuan, the monthly depreciation amount is approximately 10,000 รท (5 ร— 12) โ‰ˆ 166.67 yuan.

2. Low value or usage period not exceeding one year If the unit price of an office chair is relatively low (e.g., 200-300 yuan) or its usage period is less than one year, it can be directly recorded as a current expense. The accounting entry should be differentiated based on the department using it: Debit: Administrative Expenses - Office Expenses (for administrative departments) Or Debit: Sales Expenses - Office Expenses (for sales departments) Credit: Bank Deposit/Cash This type of treatment does not require depreciation to be calculated; expenses are recognized in full in the month they occur, simplifying the accounting process.

3. Treated as low-value consumables If the unit price of an office chair is moderate (e.g., around 500 yuan) and purchased in bulk, it can be managed as low-value consumables, with costs accounted for in stages using the '50% Depreciation Method':

  • At purchase: Debit: Packaging Materials and Low-Value Consumables - Office Chairs Credit: Cash on Hand/Bank Deposit
  • At issuance (50% of cost depreciated): Debit: Administrative Expenses - Office Furniture Credit: Packaging Materials and Low-Value Consumables - Office Chairs
  • At disposal (remaining 50% of cost depreciated): Debit: Administrative Expenses - Office Furniture Credit: Packaging Materials and Low-Value Consumables - Office Chairs Low-value consumables do not require depreciation to be calculated; however, a ledger for procurement, issuance, and disposal must be established to ensure process compliance.

Notes:

  • The criteria for recognizing fixed assets can be adjusted by the enterprise based on its scale, but must meet the dual conditions of 'usage exceeding one year' and 'value exceeding the threshold'.
  • Management of low-value consumables should strengthen physical control to prevent asset loss.
  • If the enterprise adopts the Small Enterprise Accounting Standards, low-value consumables can be recorded as expenses in full without stage-by-stage depreciation.
