Office Chair Acceptance

Admin October 08, 2026

Office chair acceptance should be conducted based on the purchase contract, national standards, and technical specification documents, with a comprehensive inspection of appearance, dimensions, material quality, etc., to ensure compliance with requirements.

I. Acceptance Basis Acceptance should be centered around the terms of the purchase contract, combined with relevant national standards (such as general technical conditions for furniture and safety performance standards) and mutually agreed-upon technical specification documents as the basis for judgment. The contract should clearly specify acceptance criteria, testing methods, and provisions for handling non-conformities to ensure a lawful acceptance process.

II. Acceptance Content

  1. Appearance and Dimensions

    • Surface Quality: Check whether the surface of the office chair is smooth, free from scratches, dents, paint peeling, or color differences; with uniform color, clear and natural texture, no rust on metal parts, and no deformation of plastic parts.
    • Structural Details: The lines of armrests, chair legs, etc., should be smooth, with firm and non-loose welds; chair wheels should rotate flexibly without jamming or abnormal noise; the gas rod should lift and lower smoothly without air leakage or sinking.
    • Dimensional Accuracy: Use measuring tools to measure key dimensions such as chair height, seat depth, and armrest spacing to ensure that the errors are within the range specified in the contract (e.g., ยฑ5mm).
  2. Material and Quality

    • Material Inspection: Verify whether the materials meet environmental standards through observation, touch, and simple chemical tests (such as testing for formaldehyde emissions); leather should be odorless, and fabric should be wear-resistant and stain-resistant.
    • Performance Testing:
      • Stability Test: Place the office chair on a level surface and apply a lateral force to observe whether it tips over.
      • Strength Test: Apply a vertical pressure equivalent to 2-3 times the human body weight (e.g., 120kg) on the seat surface and repeatedly test it 10,000 times. After the test, the structure should be undamaged, and the gas rod lifting function should be normal.
      • Fatigue Test: Simulate long-term use scenarios to check whether the backrest, armrests, etc., are loose or deformed.

III. Key Points for Acceptance in Special Scenarios

  • During Office Relocation: Focus on checking whether the chair wheels and lifting mechanism are damaged due to handling, and whether there are any new dents or paint peeling on the furniture surface; if damage is found, take photos on the spot and list it as a remaining issue in the acceptance form, requiring the supplier to make rectifications within a specified time.

IV. Acceptance Case References

  • The office chair purchase project of Rongcheng City Federation of Industry and Commerce (August 7, 2025) passed the appearance, dimensional, and strength tests and was accepted as qualified.
  • The purchase project of the Security Department of Guangdong Ocean University (April 30, 2026) completed the supply and installation as required by the contract, passed the inspection with no quality issues, and was accepted.

After the acceptance is completed, a written report should be formed and signed by both parties to ensure clear responsibilities and provide a basis for subsequent use and maintenance.
