Loading Office Chairs During Moving

Admin October 17, 2026

When loading office chairs during moving, it is important to avoid damaging the wheels, plan the loading order reasonably, and improve space utilization, while also confirming the need for disassembly and assembly services.

1. Avoid Wheel Damage and Handle with Care
Office chairs usually have wheels and are relatively large in size. When loading them into the vehicle, avoid forcing them into tight spaces or squeezing them, as this may cause the wheels to deform, fall off, or the frame to break. It is recommended to place the chairs upright, using the wheels to secure their position and reduce the risk of sliding. If space is insufficient, they can be briefly laid down, but the wheels should be wrapped with soft materials (such as bubble wrap) to prevent friction with the vehicle or other items. According to actual cases, about 50 office chairs can fill a vehicle in a single trip, but the quantity should be adjusted based on the vehicle size to avoid excessive stacking.

2. Follow the Loading Order and Optimize Space Layout
Moving companies typically arrange the loading order based on item characteristics: regular items such as cardboard boxes and file cabinets are loaded first, followed by office furniture (such as cubicles and office chairs). Due to their irregular shape, office chairs are recommended to be placed in the corners or against the walls of the vehicle when mixed with other furniture (such as sofas and coffee tables), using their contours to fill gaps and improve space utilization. If a large number of chairs need to be transported, a combination of 'upright + flat' placement can be tried: place them upright in the front row and flat in the back row (no more than 2 layers), and secure them with ropes to prevent tipping.

3. Confirm Disassembly and Assembly Service Needs and Prepare Tools in Advance
Some office chairs (such as those with adjustable height or armrests) need to be disassembled for transportation to reduce their size and avoid damage. If disassembly and assembly are involved, it is necessary to confirm the technical capabilities of the moving company in advance:

  • Tool Preparation: Allen wrenches and right-angle wrenches are commonly used tools for disassembling chair legs, armrests, or gas cylinders;
  • Operating Procedures: After disassembly, mark the parts (such as storing screws separately) to avoid missing them during assembly;
  • Responsibility Allocation: Clarify the liability for damage during the disassembly and assembly process to prevent disputes.

4. Secure and Protect to Ensure Safe Transportation
After loading is complete, secure the office chairs to the vehicle with ropes or straps to prevent sliding and collision during sudden braking. If there are gaps in the vehicle, fill them with padding (such as blankets or foam boards) to reduce shaking. For valuable or fragile office chairs (such as those with leather seats), it is recommended to wrap them with additional protective film to avoid scratches or stains.
