Formal Office Chair Procurement

Admin October 10, 2026

The following cases and key points can be referred to for formal office chair procurement:

1. Clarify procurement needs and budget
Determine the type of office chair based on the actual usage scenario, such as regular office chairs, high-back chairs, or conference chairs. For example, the Hubei Provincial Road Transport Career Development Center procured three specifications of office chairs, each suitable for different job requirements:

  • Office Chair 1 (650ร—730ร—1080mm) costs 1380 yuan each, suitable for management or long-hour office scenarios;
  • Office Chair 2 (620ร—680ร—1080mm) costs 780 yuan each, suitable for regular employees;
  • Office Chair 3 (600ร—650ร—1080mm) costs 540 yuan each, suitable for basic needs in bulk procurement.
    Chongqing University of Technology chose the high-back model GX-CZC39A, priced at 260 yuan each, likely for student or temporary office use. The budget should consider both quantity and quality requirements to avoid excessive pursuit of low prices leading to insufficient durability.

2. Supplier qualifications and product compliance
Prioritize suppliers with production licenses and quality management system certifications (such as ISO 9001). For example, Hubei Baoyu Furniture Manufacturing Co., Ltd. and Chongqing Aierbai Furniture Manufacturing Co., Ltd. are both winning suppliers, and their products must comply with national furniture safety standards (such as GB/T 3325-2017 'General Technical Conditions for Metal Furniture') to ensure that indicators such as formaldehyde emission and structural stability meet the standards. Before procurement, suppliers can be requested to provide test reports or sample trials.

3. Specification and functionality matching
Choose the appropriate size based on the user's height and body type. For example, high-back chairs are suitable for taller individuals or those requiring neck support, while regular office chairs should focus on adjustable seat depth (usually 40-50cm) and seat height (45-55cm). The office chairs in the Hubei project all have a height of 1080mm, suitable for standard office desk heights (around 75cm), to avoid discomfort caused by mismatched heights.

4. Negotiation space for bulk procurement
Generally, the larger the quantity, the higher the discount on the unit price. In the Hubei project, 16 Office Chairs 3 were procured, with a lower unit price compared to other models; while Chongqing University of Technology only procured one high-back chair, with a higher unit price. It is recommended to procure in batches according to actual needs or jointly procure with other units to reduce costs.

5. After-sales service and maintenance
Clarify the warranty period (usually 1-3 years), maintenance response time, and spare parts supply capability. For example, the Hubei project did not specify warranty terms, but regular suppliers generally provide free replacement of damaged parts. The procurement contract should specify return and exchange conditions to avoid disputes due to quality issues.
